What a line sheet image has to do that a retail image does not
Retail imagery is optimised for a single product page: one product, several angles, room to zoom. Line sheet imagery is optimised for comparison across many products at once. That difference drives every standard below.

Three practical consequences follow. First, a line sheet image must survive being shrunk to a thumbnail, which means high contrast between product and plate, no fine detail that carries meaning, and no busy background. Second, because rows sit next to each other, any drift in scale, crop, angle or plate colour is instantly visible in a way it never is on a standalone page. Third, the image has a job outside the sheet: when a buyer places an order on a platform like NuORDER, JOOR or Faire, that same file becomes the order-confirmation thumbnail and often the retailer's own internal reference, so it has to carry its identity in its filename.

Standard 1: one primary shot per style, on a fixed framing rule
The single most important standard is one primary image per style, framed by rule rather than by eye. Every product in a category should occupy the same proportion of its cell, sit at the same position, and face the same direction. A buyer should be able to compare a chelsea boot in row 12 with a derby in row 31 and read relative bulk, shaft height and toe shape from the images alone.
Fixed framing needs three explicit numbers written into the brief:

Scale deserves a word. "Fit every product to 85%" is the right default for readability, but it lies about size: a keyring and a weekender bag end up the same size on the sheet. The compromise most brands settle on is fit-to-frame within a category, with a dimensions column in the sheet doing the honest work. If the category is one where relative size is the whole story, such as ceramics, glassware or cushions, switch to a physical-scale rule where the framing step scales by real measurements. Either way, the rule is decided once, written down, and applied by a deterministic step, not left to whoever crops the file.
Put the framing numbers in the file's metadata brief, not just in an email. When a retoucher or an automated framing step is told "85% fill, baseline anchor, 1:1, plate #F4F4F2", the sheet stays consistent across seasons and across suppliers.
Standard 2: a plate colour that reads as paper, not as a photograph
Line sheets are printed more often than most brands assume, and they are read on screens set to every brightness imaginable. The plate behind each product should therefore be a single flat colour that looks like part of the page, so the product appears to sit on the sheet rather than in a floating photo.
Pure white (#FFFFFF) is the common choice and it works, with two caveats. On a white sheet template it makes cell boundaries vanish, which is fine if the layout relies on gutters, and a problem if it relies on borders. And for white or very pale products (ivory knitwear, white ceramics, silver jewellery) it kills the silhouette at thumbnail size. Many brands use a warm off-white such as #F4F4F2 or #F7F5F0 for this reason: white products keep an edge, and the page reads as paper.
Whatever you choose, the rule is that the value is exact and identical across every image. A plate that drifts from #F4F4F2 to #F2F2F0 is invisible on one image and obvious across a grid, because adjacent cells show a faint tonal step. That is one reason to avoid asking a generative model or a retoucher to "make the background white": the result is a slightly different white each time. Generate the cutout, then paint the plate colour as a separate deterministic step so every cell matches to the pixel.
Shadows follow the same logic. A soft contact shadow helps footwear, bags and rigid goods sit on the plate and read as three-dimensional at small sizes. A cast shadow that runs off in a direction that differs between cells does the opposite. Either use a consistent, short, soft contact shadow across the whole sheet or none at all.
Standard 3: colourways as swatches or cutouts, never as re-shoots of a different angle
Colourways are where line sheets most often fall apart. A style shot in black at a three-quarter angle, then in tan front-on because that sample arrived late, then in navy as a flat lay because the tan was already shipped back, gives a buyer three images that do not compare. They cannot tell whether the tan looks bulkier because it is, or because of the angle.
Two acceptable patterns exist:
- One hero per style plus a swatch strip. The style is shown once in its lead colour; every colourway is a small flat swatch with the colour name and code. This is compact and honest, and it is the pattern most ordering platforms expect. It works when the colour is the only difference.
- One cutout per colourway on identical framing. Every colourway gets its own cell, but all of them share the exact framing, angle and plate of the lead shot. This is the better pattern when the colourway changes the material (a suede versus a smooth leather), the hardware, or the pattern placement.
If the sample for a colourway does not exist yet, which is normal during pre-order season, a colour-flipped derivative of the lead shot is more useful to a buyer than a placeholder box, provided it is derived from the same source frame so the framing stays locked, and provided the sheet labels it as a rendering. Do not mix a derivative with a fresh shot of a different sample in the same colourway row; pick one for the season.
Colour accuracy is not optional here because wholesale buyers order from the sheet without seeing the sample. A colourway that is noticeably warmer on the sheet than in the carton triggers returns of whole cartons, not single units. Shoot a neutral reference, keep the plate colour fixed so there is nothing for the eye to be fooled by, and check the colourway images against each other side by side before the sheet goes out.
Standard 4: file naming and sizing the ordering platform can consume
Line sheet images are consumed by software as much as by people. Faire, NuORDER, JOOR, Brandboom and the line sheet builders inside most wholesale CRMs all match images to products by filename or by an upload order that maps to a SKU list. A filename like IMG_4471-final-v3.jpg costs someone an afternoon per season.

Two sizing points. First, export one master at around 1800px square and let the platform make its own thumbnails; do not hand-make 300px versions, because every platform resizes differently and the small file becomes the only copy anyone can find. Second, keep the master under roughly 1 MB per image. A line sheet with 250 SKUs at 4 MB each is a gigabyte, which fails email, fails many upload forms and takes a buyer's PDF viewer several seconds per page.
Embedded colour profiles other than sRGB (Adobe RGB, ProPhoto) are stripped or misread by most PDF exporters and B2B platforms, which shifts saturated colours. Convert to sRGB on export, every time.
Standard 5: the same image works in the PDF, the platform and the buyer’s own system
A line sheet image has three lives. It appears on the PDF or web sheet you send. It becomes the product image inside the ordering platform. And when the retailer keys the product into their own POS or e-commerce backend, the same file very often becomes their listing image, because it is the only clean asset they have. A reasonable target is that a single master serves all three without rework.
That argues for a plate colour that is close to white (so it does not look odd on a retailer's white site), a fill ratio that leaves margin (so the retailer's crop does not clip the product), and a filename that carries the SKU (so the retailer's team can match it to your order confirmation). It also argues against baking anything sheet-specific into the image: no price overlay, no "new" badge, no season text, no drop shadow that only makes sense on your grey template. Put all of that in the sheet layer, not the pixel layer.
Those are rough figures from our own customer conversations, not a formal survey, but the pattern is consistent: the line sheet image travels much further than the sheet. Treat it as the canonical product cutout for the season and the rest of the wholesale channel inherits the consistency for free.
Producing a consistent sheet from inconsistent source photos
The standards above are easy to agree with and hard to meet, because samples arrive in batches, from different factories, and get photographed in whatever conditions exist that day: a sales rep's phone on the showroom floor, a supplier's shot on a mannequin, one proper studio session for the hero styles. The raw material is inconsistent by nature.
The workable approach is to separate capture from framing. Capture can be inconsistent as long as each shot shows the product clearly with some headroom around it. Framing is then a deterministic step applied identically to every file: cut the product out, measure it, scale it by the category rule, place it at the anchor, paint the exact plate colour, add the same contact shadow, export at the same size with the SKU-based name. Retouchable's product pipelines work this way, with a generative model producing the cutout and a separate measured framing step deciding scale, position and plate so that two hundred files framed on Tuesday match the fifty framed the following month.
The order of operations matters when colourways are involved. Frame the lead colour first and sign it off. Then derive or frame each colourway against that locked reference so the whole row shares one geometry. If a late sample arrives that was shot at a different angle, the correct fix is to re-shoot it at the lead angle or derive it from the lead frame, not to let a stray angle into the row.
A short pre-flight before the sheet goes out catches most of what slips through:
- Contact-sheet every image at 200px and look at it as a grid, not one by one. Framing drift, plate drift and stray shadows show up immediately at this size.
- Sample the plate colour in the corners of ten random files; every value should match exactly.
- Sort the export folder by filename and confirm it matches the SKU order of the sheet, with no gaps and no duplicates.
- Open the PDF on a phone. If a product is unreadable there, it is unreadable to a buyer on a train.
None of this is glamorous. But a line sheet that a buyer can read in one pass, order from without asking "which one is the tan?", and drop straight into their own system is the cheapest sales advantage in wholesale, and it is almost entirely a matter of framing discipline.
